This guide includes a number of communication templates to be used in conjunction with a funder Communication Plan when preparing for a Submission Period.
Communications Plan
Communication planning is an important part of the submission period preparation process. Below is a table of the types of comms you can expect to send out as well as the following templates advising of the information to include.

This is a guide only and should be made bespoke to your organisation. Our team of Customer Success Managers will gladly assist you in tailoring your communications.
Researchfish Submission Period Funder Communications - Top Tips
1. How to introduce and refer to the Researchfish platform & Submission Periods
• It’s useful to make the distinction that Funders ask researchers to report their outcome and output data and determine the timing and policies around this; Researchfish is the tool which Funders have chosen to use to collect this outcome information.
• You could also: - Refer to the submission period as the ‘[Funder Name] Outcomes Collection Window/Submission Period’ - State in communications ‘This email is being sent to you by [Funder name / RO name]’ in all communications to researchers regarding Researchfish.
2. Include why you are asking researchers to report, and what the data will/will not be used for
• Provide information on why researchers are being asked to report and what the information will be used for and where, this improves compliance rates, and the quality of the data submitted.
• You can include organisation/funding-specific examples, as well as links to general guidance about this hosted on the platform: How is the Information Used by My Funder?
3. Language
• When reminding researchers about their reporting requirements if your organisation imposes sanctions, we advise using soft language and an explanation for why those principles are in place and emphasizing the importance of output reporting and the value of this information.
4. Frequency
• Be mindful that researchers may be receiving submission period notification and reminder emails from multiple sources (both Funders and Research Organisations) for more than one award.
5. Timing
• Optimum days of the week to send communications are Monday - Thursday, and where possible avoid the end of the day.
• Be mindful of holidays/ festive season breaks and ensure you communicate with your PI’s a few weeks ahead of these if appropriate.
• Around the UK multi funder submission period a shared communications calendar will be published in the Knowledgebase of the Researchfish platform to see when organisations are scheduling their communications.
6. Length
• Keep emails (especially reminders) concise and provide links to more specific guidance hosted in the Researchfish platform or on your organisation website wherever possible.
7. Guidance
• The more specific or tailored your guidance can be the better. If you have your own guidance either hosted in the Researchfish platform or on your organisation’s website - be sure to remind and point researchers to this in communications. Please feel free to refer researchers to ‘Tips to Optimise Your Researchfish Submission for Both You and Your Funder’.
8. Additional Questions
• Try to manage researcher expectations around reporting, i.e. if they will be asked to complete any mandatory additional questions. This may increase their reporting time so it's important to explain why this data is so important to collect.
9. Support
• Clarify where researchers should send their questions. Technical support queries about the platform will be handled by the Researchfish Support Team (support@researchfish.com). Queries related to the award or requirements to submit should be directed to the Funder, include the contact email for this and ensure your details are up to date on the ‘Our Community’ page.
10. Thank you and follow-ups
• We always advise following up with researchers to thank them for submitting their valuable data, this is also another opportunity to share examples of where the data will be used and remind researchers that they can login and keep their Researchfish account up to date at any point throughout the year.
Checklist – What to include in the introduction email (to researchers)

Pre – Submission Period Email Templates:
Email 1 – Sent 2-3 months in advance of Submission Period Opening
Introductory emails to Award Holders to be sent from your organisation's email domain
Email 1 Template:
Dear [Grant holder/PI/Researcher responsible for the award submission],
I am writing to notify you of a/the new reporting service that we are implementing; please can I ask you take a minute of your time to read this email as it is directly relevant to you as one of our grant holders.
Please note that grant reporting is a Condition of Grant. As you are aware, it is crucial for us to capture the outcomes of the research we fund, not least to communicate the benefits of our research to supporters.
We will now be asking you to report your outcome and output data via an online tool called Researchfish. By using this service, it will allow you to upload outcome data about your research to multiple funders easily and quickly as well as help you manage your portfolio.
In due course you will receive an automated email from Researchfish (admin@researchfish.com) asking you to register. You will then need to:
- Register and start building your research portfolio.
- Keep your account updated throughout the year.
- Submit this information to us once yearly [dates]; you will be reminded of the submission dates by email.

Email 2 – Sent 3-4 weeks prior to Submission Period opening
Emails to be sent out in conjunction with invitations to new Award Holders & Submission Period opening soon notification. Two versions for tailored communications to be sent to either New PIs (2a) or Existing PIs (2b).
Please note:
Invitation emails are generated from within Researchfish by the funder, who can activate, create the template email and choose the specific recipients. See the Funder User Guide for instructions. We advise that whenever a funder sends out Researchfish platform invitation emails, they send an accompanying email to the recipients from the organisation’s email domain.
Only new award holders will need to receive the invitations as any subsequent awards will be automatically added to their account.
Although it is the funder who activates the invitations, the recipient will receive it from ‘admin@researchfish.com’ as it is system generated. So be sure it is clear to the recipient that is it their funder who is making this request.
It is also recommended that all organisations ‘whitelist’ this email address to allow recipients to receive the invites who are using their organisations email and to check in their spam/junk folders for the invitation from the platform.
Note: It is common for recipients to have one email, which the funder will have on file and use in the respondent table, while a different email may be used to set up their Researchfish account with. This can often cause confusion, and it will only be the email that the funder has on the respondent table, that the platform invitations will be sent to.
Email 2a Template
Target: New PIs who have not received and/or accepted an award invitation, Response codes: 1, 4 and 5
Subject: [Funder] [Name and year of submission period] Opening soon [Start Date- End Date] [Time] UK time
Body of Email:
Dear [PI Name],
We are writing to you to inform you that you are required to participate in the upcoming [Funder Name] submission window on the Researchfish platform.
[Funder] uses Researchfish as the tool for you to report the outcomes and outputs of your funding to us and have set up a Submission Period that will be open from the [Start Date- End Date] [Time] UK time.
Please note that you have access to the Researchfish platform and can update your outcomes information all year round, but that you are only able to officially submit your data during the above dates. The submission process enables you to confirm to that your reported information is up to date, complete and very importantly it gives [Funder] permission to use the information. • Check all your outputs are associated with the appropriate Funder award by using the togs on the right. You can associate an output with multiple grants in one action, by using the checkboxes on the left of the listed outputs, scrolling down and click on “attribute to” and then select the relevant awards. You can also use the toggles on the right-hand side to say “yes” or “no” if you would like these outcomes to appear in the award you have clicked on.
• [Optional if you have additional questions: “If there are mandatory additional questions on the progress of your award, ensure these are completed.”]
• If you wish to enable others to assist with completing your outcome information, you can invite them to do so by making them either delegates or team members on your awards.

Some members of Researchfish have set up some great examples of website notices or bulletin boards with a multitude of different information aimed at their researchers. Here are some examples:
Website Notice Template
Title: New online reporting tool for evaluating outputs of our research
It’s crucial for us to capture the outcomes of the research we fund, not least to communicate the benefits of our research to supporters. We are joining Researchfish – this will allow you to upload outcome data about your research to multiple funders easily and quickly.
You will receive an email asking you to follow a link and create your account. Then, you will need to:
• Register and start building your profile and outcomes and outputs.
• Connect your account to your ORCID profile and Scopus Author IDs to allow your existing data to be added to your Researchfish profile.
• Keep your account updated throughout the year adding outputs to award or personal portfolio.
• Submit this information to us [once yearly-dates tbc]; you will be reminded of the submission dates by email.

Researchfish is an online Research Outcomes System that enables a researcher to report once across multiple funders. Research outputs only need to be input once and can then be easily attributed to different grants from different funders. This enables instant and accurate reporting, allowing funders to easily track and evaluate the outcomes of the research they fund whilst saving researchers duplication of effort for different funders. Please be aware that we can only see information researchers have attributed to one of our grants. We will use the information grant holders provide to evaluate and report on the impact of the research we fund and to inform our research strategy.

What you will need to do
Once you are awarded a research grant from [Funder], or if you already have one, we will add you to our Researchfish account and we will send you an invitation email to Researchfish to report on your funding. You can use the link in the email to register on the Researchfish site and build your profile. You or one of your delegates can add, edit and delete entries and attribute these, to the awards you hold in your account.
We will ask you to submit your data to us during our initial submission period which we aim to open in [submission dates].

Webinars
Researchfish provides webinars towards the end of the year for award holders to gain an understanding of how to navigate the researchfish platform.
It may also be worthwhile for funders to provide a webinar to their researchers to explain what kind of information or outputs and outcomes they are looking for from their award holders, and to emphasise the value of their reporting.
Research Organisations
ROs assist and support their researchers with completing their submissions. It is best practice to share your communication plans with them so they can also plan and align any communications they send out. We advise that all communication plans you create for your researchers, that you also have the Research Organisations in mind.
Ahead of the UK multi funder submission period, a shared Funder comms timetable with larger UK funder planned communication dates is published and made available in the Knowledgebase of the Researchfish platform. If you are a Research Organisation with a query about specific Funder communications, you can find their contact details on the Researchfish ‘Our Community’ Page.
